  1. Archive the entire production context, not just the final files
    Store project files, fonts (where licensing permits), LUTs, plug-ins used, AI prompts, edit decision lists (EDLs), XML/AAF timelines, and production notes alongside the final assets. Years later, recreating or modifying content is often impossible without this context.
  2. Generate preservation-grade checksums before moving assets
    Use cryptographic hashes (such as SHA-256) to verify every file before and after archive transfers. Periodically revalidate archived files to detect silent data corruption (bit rot), especially on long-term storage.
  3. Keep one mezzanine master independent of delivery formats
    Don’t rely on compressed web versions as your archive. Preserve a high-quality mezzanine file (e.g., ProRes, DNxHR, TIFF sequence, or high-bitrate master) that can produce future delivery formats without cumulative quality loss.
  4. Archive technical metadata separately from the asset
    Export metadata such as resolution, codec, frame rate, color space, audio configuration, camera model, and transcoding history into structured files (JSON, XML, or CSV). This remains searchable even if the media itself is offline.
