What Is IPTC Metadata?

IPTC stands for International Press Telecommunications Council, the organization behind the standard. In my experience, here are tips that can help you better manage and use XMP metadata in professional media workflows:

  1. Version your custom XMP schemas
    If you create custom metadata fields, include a schema version number. As workflows evolve, older assets remain compatible, and migration scripts can update metadata reliably instead of guessing field meanings.
  2. Treat sidecar files as inseparable assets
    Store .xmp sidecars and their source files as a single logical object. Configure backup, synchronization, and DAM ingestion rules so renaming or moving one automatically updates the other to prevent broken metadata links.
  3. Embed immutable data, externalize changing data
    Store information that rarely changes (creator, copyright, creation details) inside the asset. Keep frequently changing workflow information (approval status, review comments, project assignments) in your DAM or PIM to avoid constantly rewriting files.
  4. Normalize controlled vocabulary before writing XMP
    Instead of letting users freely enter keywords like “NYC,” “New York,” and “New York City,” map them to a controlled vocabulary first. Better metadata quality at ingestion dramatically improves long-term search accuracy.
  5. Use XMP as an automation trigger
    Metadata isn’t just for searching. Many workflow engines can trigger actions based on XMP fields—for example, automatically publish approved assets, archive expired licenses, or route files to different processing pipelines.
